Your Data Rights
How to export, correct, or delete your data, and how long each request takes.
Last updated: October 27, 2026 (draft, effective October 2026)
Version 1.0 · Effective October 2026
Your procedures and records belong to your team, and your account belongs to you. This page explains how to take your data with you, fix it, or delete it, and how long each request takes.
1. Who can do what
| Request | Who can do it | Where |
|---|---|---|
| Download a PDF of a finished run record | Anyone in the workspace | The record's page |
| Export all of the team's data | Owner | Settings → Data & privacy |
| Delete the workspace | Owner | Settings → Data & privacy |
| Delete your own account | Anyone | Settings → Account |
| Change a teammate's name or role, or remove someone | Owner or Admin | Settings → Team |
| See or get a copy of your personal information | Anyone | Email us |
| See, correct, or delete a child's information (under 13) | The child's parent or guardian, or the adult who added them | Email us |
If a button isn't in the app yet, or you'd rather not do it yourself, email support@novbay.com and we'll do it for you.
2. Export your team's data
The workspace Owner can download a full export at any time, on any plan, including Free:
- JSON: a complete, machine-readable copy of the workspace, with procedures (every revision), run records, change requests, settings, and the member list.
- CSV: spreadsheet-friendly tables of procedures and of run records, with one row per signed step.
- PDF: printable copies of procedures and finished run records.
Photos are included in the JSON export. Exports are created only when you ask for one, and they download straight to your device. We don't keep a copy.
Timeline: exports from Settings are ready in moments. If you ask us by email, we'll send one within 7 days.
3. Correct your information
- Your name: an Owner or Admin can change it in Settings → Team, or you can email us. Your name shows on the steps you sign, so please use your real first and last name.
- Your email address: email us from your current address and we'll help you move your account.
- A mistake in a signed record: signed records are history, so we don't quietly rewrite them. If a name is misspelled or a record has an error, the Owner can email us and we'll work out the right fix together, such as correcting a misspelled name or adding a note. For a step that was done wrong, the usual fix is a new run.
Timeline: we'll make corrections within 7 days of confirming the request.
4. Delete your workspace
Only the Owner can delete a workspace:
- Go to Settings → Data & privacy → Delete workspace.
- Download an export first. Once deletion is final, we can't recover anything.
- Type the workspace name to confirm.
- Any paid plan is canceled right away, and a 30-day grace period starts. You can restore the workspace any time during those 30 days.
- After 30 days, everything in the workspace is permanently deleted.
See the Data Retention Policy for exactly what is deleted and when.
5. Delete your account
Anyone can delete their own account from Settings → Account → Delete my account:
- Your sign-in, email address, and profile are deleted, and you're removed from your workspaces.
- Run records you signed stay with your team, with your name on them, because they're part of the team's history.
- Owners: if other people are in your workspace, transfer the Owner role first, or delete the workspace.
Timeline: account deletion takes effect right away. Any leftover copies are removed from our systems within 30 days.
6. See what we have about you
Email us and we'll send a summary of the personal information we hold about you: your account details, which workspaces you belong to, and your role in each. We'll also send a copy if you'd like one.
Timeline: within 30 days, and usually much sooner.
7. Children under 13: rights for parents and advisors
A child under 13 can use Novbay only after a parent, guardian, teacher, or club or team advisor adds them and consents for them (see Privacy Policy §10). For any child's account, that adult or the child's parent or guardian can:
- Review the personal information we hold about the child.
- Correct it.
- Delete the child's account and personal information.
- Stop any further collection. This also closes the child's account.
How: email support@novbay.com with "Child account" in the subject line. Include the child's name as it appears in Novbay and the workspace name. We'll confirm that the request comes from the child's parent or guardian, or from the adult who added the child, before we share or change anything.
Timeline: within 7 days of confirming the request.
What happens to team records: the child's sign-in and profile are deleted. If the parent asks, we'll also replace the child's name on the team's run records with "Removed user."
8. How we confirm it's you
To protect your account, we'll act on a request only when it comes from the email address on the account, or when you're signed in to Novbay. For requests about a whole workspace, we'll check that you're its Owner. If we can't confirm who's asking, we'll reply to the email on file before we do anything.
If you're a member of a team and you ask about the team's content (not just your own account), we may pass the request to your workspace Owner, since the team controls its records.
9. If we can't do something
Sometimes we may need to keep certain information, such as billing records required for taxes. If so, we'll tell you what we're keeping and why. If you disagree with our answer, reply and tell us. We'll take another look and respond within 30 days.
10. Contact
support@novbay.com. Put "Data request" in the subject line to help us find it quickly. We usually reply within one business day.
